01Find one task your team repeats every day

Automation works best when it starts small. Look for a task that happens many times a week, follows a similar pattern each time and pulls people away from more valuable work. For many businesses in the South-South, the candidates include:

• Answering the same questions about prices, opening hours or delivery on WhatsApp.
• Copying order details from messages into a spreadsheet or sales system.
• Sending payment reminders to customers with outstanding balances.
• Compiling a daily or weekly sales report from several sources.
• Alerting a manager when stock of a key product runs low.

Pick one. Write down exactly how it is done today, including the exceptions that make it awkward.

02Try simple rules before AI

Not every automation needs artificial intelligence. If a task follows fixed rules, such as sending a reminder three days before a payment is due, simple automation is cheaper, more predictable and easier to fix.

AI becomes useful when the input varies: messages written in different ways, documents in different layouts, questions that need summarizing. Even then, it should work inside clear rules about what it may and may not do.

03Be realistic about WhatsApp automation

WhatsApp is central to how many businesses in Delta, Edo and Rivers talk to customers, so it is often the first thing owners want to automate. The free WhatsApp Business app already offers useful basics such as greeting messages, away messages and quick replies.

Deeper automation, such as connecting WhatsApp to your sales system or an AI assistant, typically uses Meta’s WhatsApp Business Platform, directly or through an approved provider. That involves account approval, rules about when and how you may message customers, and usage-based charges. Check the current requirements and pricing before planning around it.

04Keep a person in the loop

Decide in advance which decisions an automation can make on its own and which need a person. An automated reply confirming opening hours carries little risk. Promising a delivery date, approving a refund or answering a medical or legal question does not.

Always give customers a clear way to reach a human, and make sure your team sees the conversations the automation could not handle. An automation that fails silently is worse than none.

05Protect customer information

Automations move data between tools, so know where customer information goes. Avoid pasting customer records into AI tools your business has not approved, and check where each connected service stores data.

Organizations in Nigeria that handle personal data have obligations under the Nigeria Data Protection Act 2023. Collect only what you need, limit who can access it, and be able to explain to a customer what happens to their information.

06Measure the result honestly

Before switching an automation on, note how long the task takes now and how often mistakes happen. After a few weeks, compare. Count the time spent supervising and correcting the automation, not just the time it saves.

If it works, expand carefully to the next task. If it does not, you have learned something useful at a small cost.

07Train the people who use it

An automation changes someone’s daily work. Explain what it does, what it does not do and what to do when it gets something wrong. Staff who understand the tool catch problems early; staff who do not may quietly work around it.
